Privacy policy

This policy explains what information SiteSathi AI needs to run the dashboard and the website chatbot, why it is used, and how you can contact us about it.

Who this policy is for

SiteSathi AI provides an online workspace for website owners and a chatbot that they can add to an approved website. This policy covers our marketing website, the SiteSathi dashboard, and the hosted chatbot service.

If you are visiting a business website that uses SiteSathi, that business decides what information to publish in its knowledge base and how to respond to its own customers. Its privacy policy may also apply.

Information processed

Account and workspace: account email and login details, organization name, website origins, chatbot settings, business FAQs and uploaded knowledge documents.

Visitor conversations: chat messages, conversation identifiers, questions asked, optional contact details and human-support requests when a visitor submits them.

Service operation: usage events, request timing, error/security records and technical connection information that may include IP address, browser information and referring website.

Payment information: where a separately approved manual-payment pilot is used, order amount, status and submitted transaction reference may be recorded. We do not ask for UPI PINs or internet-banking passwords.

Why we use it

To identify and secure accounts, verify allowed website origins, display business-approved chatbot answers, record conversations and enquiries, provide requested human handoff, investigate support issues and operate the service.

An optional AI provider can be configured by the account owner. When enabled, relevant questions and approved source excerpts may be sent to that provider to generate a reply. Without that configuration, local FAQ and approved-document features can still operate.

Where information goes

The chatbot is hosted separately from the website on which it appears. When the widget is enabled, visitors’ browsers contact sitesathi-app.duckdns.org to load chat resources and send messages.

SiteSathi uses hosting and infrastructure providers to operate the service. Our marketing pages run on Cloudflare Pages, and the application uses server and database infrastructure. Optional AI or payment providers process information only when the relevant feature is configured and used.

A website owner can view information associated with their own SiteSathi workspace, including relevant conversations and enquiries. A visitor who chooses the human-support option is asked to consent to sharing that conversation with the support team.

Storage, retention and safeguards

Chat and workspace data are stored on the SiteSathi service, not in the WordPress connector’s own tables. We maintain access restrictions and other operational security controls, but no online service can guarantee absolute security.

Retention can depend on account status, support needs, backup cycles and applicable legal obligations. We are reviewing fixed retention and automatic deletion schedules during the beta. Until those controls are published, contact us to request review, export or deletion of specific account or visitor information.

Your choices

Website owners can disable the SiteSathi widget, update or remove their business knowledge, and contact us about workspace data. Visitors can choose not to send a message or contact details, and can contact the website owner about a conversation on that website.

For an access, correction, deletion or privacy enquiry, email sitesathi.ai@gmail.com. Please identify the relevant website and approximate date of the conversation without sending passwords, authentication codes or payment PINs. We may need to verify the requester’s authority before disclosing information.

Cookies and session information

The SiteSathi dashboard and chat experience may use browser storage or session identifiers needed to keep users signed in and maintain conversations. We do not describe these as advertising trackers. Individual hosting platforms may also maintain their own necessary security and access logs.

Changes and contact

We may update this policy as the beta develops, especially before enabling public subscriptions or additional providers. The current version and update date will be shown here. For questions, contact sitesathi.ai@gmail.com.
